EV Decision Compass (“we”, “our”, “us”) is committed to protecting your personal data and respecting your privacy. This policy explains how we handle personal information in compliance with the UK GDPR, the Data Protection Act 2018, and the EU General Data Protection Regulation (GDPR).

EV Decision Compass is the service name. The legal entity identified below is the data controller. Privacy enquiries can be sent to contact@evdc.co.

Online purchase and collection of service inputs are currently unavailable. The data controller details must be published before those features can be enabled.

2. Information We Collect

We may collect:

  • Personal data you provide voluntarily (e.g. contact forms, newsletter subscriptions, requests for information).
  • Technical data such as IP address, browser type, device details, and pages visited (via cookies or analytics tools).
  • Service inputs you provide for a purchased pack, such as a reimbursement policy, rate logic, process description and sample claim data.

Please remove or mask employee names, personal contact details, vehicle registrations and other identifiers before sending sample claims. We do not need special-category personal data to deliver the pack.

3. Legal Basis for Processing

We process personal data only where lawful. This may include:

  • Consent (e.g. for newsletters).
  • Contractual necessity (to provide requested services).
  • Legal obligation (to comply with applicable law).
  • Legitimate interest (improving services, ensuring security, provided your rights are not overridden).

We use your data to:

  • Respond to enquiries.
  • Scope, prepare and deliver a purchased reimbursement pack.
  • Send communications if you have opted in (with the option to unsubscribe at any time).

5. Cookies

Analytics is optional and remains disabled unless you select “Allow analytics”. If allowed, we use Google Analytics, Ahrefs Analytics, Vercel Analytics and Vercel Speed Insights to understand aggregate site usage and technical performance. These providers may process online identifiers, device information and page activity for that purpose. They are not required for checkout, contact or delivery of the reimbursement pack.

We store your analytics choice, the date it was recorded and the version of this notice in your browser. An analytics opt-in expires after 180 days, after which we ask again. Google Analytics cookies are configured with the same maximum lifetime. Provider processing and shorter technical retention periods may vary by service.

You can refuse analytics without losing core site functionality. Use “Cookie settings” in the footer to change your choice at any time. Withdrawing consent stops future analytics, removes the Google Analytics identifiers we can clear from this site and reloads the page. You can also clear site data in your browser.

6. Sharing of Data

We do not sell your personal data. We may share limited data with trusted service providers who help us operate our website, process payments, store service files or send email, or if required by law. Stripe processes payment details; EVDC does not receive your full card number. If data is transferred outside the UK or EEA, we ensure adequate safeguards are in place.

7. Data Retention

We retain personal data only for as long as necessary to answer the enquiry, deliver and support the service, keep required financial records, or meet legal obligations. You can ask us to delete service inputs that we no longer need, subject to those obligations.

8. Data Security

We take reasonable steps to protect your personal data. However, no method of online transmission or storage can be guaranteed fully secure.

Under UK and EU data protection law, you have the right to:

  • Access the data we hold about you.
  • Request correction or deletion.
